Equipment Maintenance®
ACCSoft's Equipment Maintenance (EM) module moves Timberline’s Equipment Cost
module to the level of a full equipment management system.

 

EM allows the setup of equipment services and service schedules. Each equipment item can have an unlimited number of schedules driven by multiple meters such as hours, miles, fuel used and dates. Each schedule has its own services or service cycles which automatically generate work orders as the services fall due.

 

Recording meter readings


Does EM record the meter readings? EM facilitates the recording of meter readings and then passes those reading on to Timberline’s Equipment Cost module. Meter Readings can also be recorded using the Mobile EM application. The M o b i l e E M s o f t w a r e
recognizes the difficulties of accurately collecting readings in the field and getting them back into the maintenance system. Mobile EM is a Palm OS® application which supports bar coding of your
plant items to avoid keying or identification errors.

 

Integration


Equipment Maintenance is an add-on product from ACCSoft that is designed to seamlessly integrate into the Timberline Office suite of operations and financial software. It can operate with or without the Purchasing, Inventory, Payroll or Service Management modules being installed. By clever use of the Timberline import entry routines,
any accounting transactions created in EM are merged into the standard Timberline workflow using the installed Timberline modules.


How does EM Integrate? EM seamlessly integrates with Equipment Cost, using all of the standard setup information from equipment cost with absolutely no duplication of data entry. For those users who have the Timberline Purchasing and Inventory modules, Equipment Maintenance allows the free flow of parts required for maintenance work orders to be issued and/or ordered.
When work orders are generated, an option is available to add all the parts requirements to a PO/IV requisition which can then be managed to ensure only parts required but unavailable from the store are ordered and other parts are issued.


Where Timberline Purchasing and Inventory is not used, parts can be maintained within EM and supplier invoices can be entered in EM and then exported to Accounts Payable for processing. An EM—based issues entry function can also be used in the absence of the Purchasing and Inventory modules to record costs associated with the use of spare parts which can be exported to the Timberline Equipment Cost module as cost entries.

Service Management (SM) integration facilitates the primary scheduling of preventative maintenance services based on metrics in EM rather than having to rely solely on the Service Management calendar. For example, when an airconditioner reaches and requires a service under it’s PM plan, its first 1000 hours ofoperation, work orders can be created simultaneously in both systems and the SM work order can then be added to the SM dispatch board. Payroll timesheet data entry for labour hours is supported within EM. This feature facilitates the direct export of labour details into Payroll from
EM as a time entry. A list of service technicians can be automatically imported into EM based on either your PR or SM employee records, depending on your requirements.

 

Ease of setup


How easy is it to setup all my services? EM uses a concept called service items where generic service components like “air filter” or “glow plugs”
are created. These generic items are used to make up the standard parts lists for your equipment.. The generic service items are then mapped to specific inventory items based on the equipment ID or equipment type.
